Leaving Excel behind: moving to real management software

Excel is everywhere. To launch a business, track a few customers or throw together a budget, it's the perfect tool: free (or almost), flexible, familiar to everyone. But as your company grows, that trusty spreadsheet turns into a silent brake. Duplicate files, broken formulas, “which version is the right one?”… If that sounds familiar, this article is for you.

Excel, the friend that eventually traps you

The spreadsheet did nothing wrong: it was simply never designed to run a business. It manages cells, not processes. An invoice, a stock item, a customer, an order — these are living objects, linked together, that several people view and edit at the same time. Excel, on the other hand, stays an isolated file on one computer… or worse, duplicated on five.

7 signs it's time to leave Excel

  • You juggle several versions of the same file and no longer know which one is authoritative.
  • A formula error (or an unlucky copy-paste) has already skewed an important figure.
  • Your data is never up to date in real time: everyone works on their own copy.
  • Everything rests on one person who “knows the file” — and the day they're away, everything stalls.
  • You re-enter the same information in several places (quote, invoice, accounting, stock).
  • You have no overview: impossible to pull a reliable dashboard in one click.
  • You can't issue a structured electronic invoice — now mandatory (see below).

Three signs or more? Your spreadsheet is already costing you time and money, without ever showing up as a line of expense.

What real management software for SMEs changes

Moving to a real management software (an ERP) isn't “doing bigger Excel”: it's a genuine alternative to Excel that completely changes the logic:

  • A single database: information entered once, up to date everywhere — no more duplicates.
  • Real time: everyone sees the same thing at the same moment, wherever they are.
  • Automation: a quote becomes an order, then an invoice, with no re-entry.
  • Collaboration: several people work together, with access rights.
  • Security: automatic backups, history, no more lost file.
  • Steering: clear dashboards to decide on reliable figures.
Excel vs real management software (Odoo): duplicate files, errors, real time, multi-user access and Peppol e-invoicing — LPLG

“But my Excel works just fine…”

True — until the day it doesn't. The objections are always the same, and they all have an answer:

  • “It's expensive” — modern software often costs less than one day a month lost fixing files. And some start for free.
  • “It's complicated” — today's interfaces are simpler than Excel, and your teams are trained.
  • “The migration will be a nightmare” — done properly, it happens step by step, without breaking everything at once.

How to leave Excel painlessly

A good migration isn't a big leap, it's a series of small steps:

  1. We take stock: which files, which processes, which priorities.
  2. We pick a useful scope: we start with what hurts most (invoicing, customers, stock…).
  3. We import your data: your contacts, products and history brought over cleanly.
  4. We train your teams: they take over, you keep your independence.

Why Odoo (and why LPLG)

At LPLG, we deploy Odoo, an all-in-one, modular management software (ERP), designed for SMEs in Belgium. You activate what you need — CRM, sales, accounting, stock, website — and everything talks to each other in a single database. One price per user, no licence per module, and the website is even free.

Above all, Odoo natively handles Peppol electronic invoicing — a real issue in 2026:

⚠️ Electronic invoicing is now mandatory. Since 1 January 2026, structured electronic invoices (Peppol format) are mandatory between VAT-registered Belgian businesses. An Excel file or a PDF is no longer enough. Software like Odoo issues and receives these invoices natively — Excel never will.

And because we are both an Odoo integrator and partner, we don’t hand you “raw” software: we configure it for your business, bring over your data and train your teams — in French and in Dutch alike.
