First contact
The family calls or visits. An application file opens in the CRM with contact details and the future resident's needs.
Admission pipeline
Six stages tracked on a kanban board: First contact, Visit scheduled, Visit completed, File complete, Admitted (or Refused / Withdrawn).
Admission
A wizard assigns an available room and a date. The contact becomes a resident, the stay is created, the admission eAgreement request is prepared.
Stay
Room, transfers, medical follow-up, Katz assessments, flat-rate billing, meals: everything is tied to the same record.
Internal changes
Change of dependency category or room: the corresponding eAgreement request is generated.
Exit
End-of-stay wizard with reason (death, transfer, return to family, hospitalization). The end-of-stay request goes out, the history remains.
A guided admission, no gaps.
Moving to "Admitted" opens a wizard: room and date are required. The resident and their stay are created automatically — with safeguards.
- Only truly available rooms are proposed (capacity taken into account: "204 — Available, 1/2").
- Cancelling the wizard automatically reverts to the previous stage.
- Moving a file out of "Admitted" cancels stays that haven't started.

What is the resident record in Resthome?

How does an admission work?
It all starts in the CRM: an application file opens at the family's first contact, then follows a six-step pipeline. At admission, a wizard assigns an available room and a date; the contact becomes a resident and the stay is created automatically.
What are the stages of the admission pipeline?
First contact → Visit scheduled → Visit completed → File complete → Admitted. A "Refused / Withdrawn" stage tracks unsuccessful applications. Tracking is visual on a kanban board.
How are rooms managed?
Rooms are organized by sectors, floors and buildings, with room types and daily rates. Availability accounts for capacity: a partially occupied double room remains offered. Transferring a resident to another room is done in one click.
Are only truly available rooms offered?
Yes. At admission and at transfer, only available rooms are offered, accounting for remaining spots and excluding rooms under maintenance or reserved.
What happens when a resident leaves?
An end-of-stay wizard closes the stay with a reason: death, transfer, return to family or hospitalization. The record and full history remain accessible for billing and legal obligations.
Is the link to eHealth processes automatic?
Stay events feed the corresponding eAgreement Light requests: admission, extension or readmission, dependency category change, end of stay, short stay. The request is prepared from the stay, ready to be sent to the health insurer.
How are readmissions handled?
Resthome distinguishes readmissions within 30 days (with or without change) from readmissions after more than 30 days, which require a new Katz assessment according to FEMARBEL rules.
Is the resident record linked to the medical module?
Yes. The resident record is the foundation of the medical module developed by LPLG: INAMI Katz assessments, prescriptions and administrations, care plans, nursing notes, allergies and drug interactions all rely on the same record.
And with billing?
The stay and Katz category feed INAMI daily-flat-rate billing, with a resident share / insurer share split. MDA insurance verification integrates into the same flow.
Can you create a resident from an ID card?
Yes. Reading the Belgian electronic ID card (eID) automatically creates or updates the resident's record: identity, NISS, address, date of birth, photo.
Are the resident's documents centralized?
A document folder is automatically created per resident, with subfolders (medical, administrative, billing) and GDPR-compliant retention.
Who can see which residents?
Access rights follow sectors: caregivers and nurses see only the residents of their assigned sectors, while head nurses, doctors and management have access to all residents.
Is sensitive data traced?
Every change to sensitive data (NISS, health insurer, medical data) is logged in an immutable audit journal, kept for 7 years according to Belgian health data legislation. Only management has access.
Are Belgian health insurers preconfigured?
Yes, all Belgian federations are pre-loaded with their codes, along with the resident's member number, holder code and BIM status.
Does Resthome suit MR, MRS and short-stay centers?
Yes. The resident record, admission pipeline, room and stay management, and eHealth processes cover nursing homes (MR), nursing and care homes (MRS) and short-stay centers (CSJ).
What happens to past stays?
Every resident keeps the full history of their stays (rooms, dates, exit reasons), accessible for billing, audits and legal obligations, even after they leave.
